How Does Availability Work?

Availability feature was originally built to allow clinicians to work part time and flexible times. For large clinics with multiple clinicians working certain times of the week, particularly with no predictably repeating pattern. The concept is for the clinicians to specify they are available, which will be searchable with time booked being deducted from the total time available. This provides flexibility but a limitation here is that there is currently no option to include predictable repeats of availability.

ClinicYou calendar provides a visual overview of activity, so that this feature is not necessary in most settings and you don't need to use it.

The opposite of this implementation is to configure predictable availability and block of dates /times someone is available. Both are valid ways of providing this feature. We have now developed this latter version. It is a dead simple way of specifying clinician availability and takes into account when a clinician is on leave (provided they enter the leave dates on ClinicYou that is )

Here are the steps needed to get started:

Click 'Availability' button on the Scheduler page.

Go to Add Availability tab and select a clinician. Select additional options as required. It is envisaged that clinicians do this themselves most of the time, but other staff can also do this.

Please note we need appointment types and locations configured for this to work.

Once availability is entered, Find Availability tab allows you to flexibly search, drill down and then display available slots. Double clicking on a day in the calendar loads a calendar, from where you can make an appointment.

Find a Day

Click and drag in the calendar and the appointment booking panel pops up with all the selected information pre populated. Whilst the system displays which days are full and 50% full, you can always overbook the day flexibly.

If the selected clinician is marked as away on a particular date (They can set this on the home page), the calendar does not show the dates as available.
