How to search for a drug

ClinicYou creates a clinic-wide list of drugs on the fly, as you and your colleagues work. As you add drugs to your patients' medical records, they are added to your clinic's personal database of drugs (similar to how diagnosis and procedures are added to your list). Once in the database, they autosuggest as you type next time.

You can manually type drug names and doses in, but can also search an online resource to find available drug names and doses quickly. This is how it is done:

Type a few letters of the drug, then click the lens icon next to the field
A panel with the matching names will appear below the patient drug list
You can copy and paste those in the drug name field for accuracy

Find Drugs

From August 2023, we have another way of adding drugs to the list on patient's medical records. With the 'more' actions buttons visible on the left of the notes entry (to open those, click the small triangle), click the magic wand icon. This will display a popup which gives you a way of extracting SNOMED codes from the notes text and any drug names. Once a list of names / codes are displayed, you can select desired ones and add them to the list with a sing

Can I copy text from an EMR entry?

This is useful mainly for writing a letter associated with that entry. Most people find the note's contents are repeated in the letter. It is then useful to be able to copy the text for that reason. And there are other use cases for this facility. Of course you can copy the typed text:

ClinicYou is based on monthly subscription per users in a clinic (clinicians or staff) and is free to patients. We have a volume based pricing model. For the first 5 users, each user costs £40 per month, and the next 6 - 10 users cost £30 per month (discounted annual pricing is sometimes available - please check pricing page). If you have more than 10 users, we can negotiate a custom enterprise plan for you.

Does ClinicYou have any additional / hidden charges?

There are no 'hidden' charges. We have a very transparent pricing policy - as follows:

ClinicYou offers 'value added services'. These are:

Pay As You Go SMS appointment reminders - £0.05 per text reminder. To enable, go to My Account / My Clinic and click *Send SMS reminders *checkbox.
Print fee for centrally printing and delivering a physical letter - this advised at the point of print, and added to monthly billing. Please check printing panel for up-to-date prices.
Video calls lasting up to 45 minutes are free. Calls lasting longer than that is billed just a few pence a minute as a fair use policy.
Click to Call - you can click a patient's number and connect the call to your personal mobile, whilst not showing your number to patient. This is billed on duration of the call and you get to see itemised call charged from your profile.

Attach documents to EMR

Attachments and letters are episode / context sensitive and are related to notes in the EMR. So, you need to first make a an entry in the EMR, and once this is saved, you will see options such as attach notes, delete, print etc. Click the paperclip icon to attach something. A wide range of attachments are allowed - including PDFs, images and voice files.

How can I add patient's GP?

There are several ways tom enter a patient's GP. ClinicYou makes it easy based on the context you are in. GP name and address are saved to your Contacts data base, the button to open this is at the top of the page.

Contacts

1. From the EMR page

When you are in the EMR page, you can easily add a GP to the current patient - open the contacts panel, find or add a GP, then click 'Set as Patient's GP'. button on the panel. That's all - you can verify the selection has gone through by looking on the patient demographics panel.

2. When you start creating a letter

You don't have to stop and go through all of the steps above if you have already started creating a letter and then find the addressee is not in your Contacts. Just choose to add a new contact inline, then check 'This is Patient's GP'. This was a new contact is created and added to the patient.

You can also do this on Patients page - same process as (1).

| Sometimes you can't remember the GP name but remember surgery name or town. You can use these in the search field for a fuzzy search.

|| To access prescribing workflows, please enter some drugs in the patient's medical record first.

You need to add some drugs in patient's medical records to gain access to prescribing button. This might seem a convoluted step, but this is necessary for creating a paper prescription. Further, this creates a patient context and chances of errors are reduced.

Make an entry in EMR Drug List

ClinicYou has both paper-based and electronic prescribing facility. Paper prescribing is available to everyone out of the box. We currently have integrations with 2 pharmacy partners CloudRx and Healistic - more are in the pipeline. Workflows differ based on the provider used.

With CloudRx we dynamically create an account for you and enable prescribing. Therefore we will need to validate you as a prescriber first. Therefore, when you first click the electronic prescription tab, the system will check your validation status. If you are new to it, you can start the validation process with a single click. We will contact you for required supporting documents as necessary. Please note if you already have an account on CloudRx, please change the email address associated with it before requesting access through ClinicYou. Effectively we will be creating a new account for you.
