How to Set-up or Enable Patient Booking (online appointment booking)

Allowing Patients to Book Appointments Online



You can make ANY of the Appointment Types you have set up for your clinic 'patient bookable'. Marking an appointment as patient bookable gives you access to a a patient booking page on the ClinicYou app. This page has no ClinicYou branding on it and just shows your clinic's name. You can either link this page from your website or social media page, or with a little more work, embed the page inside an iFrame on your own website so that you retain the look and feel of the site.

Get Started



If you haven't already, go to the Calendar tab and set up some Locations (where your clinic runs from), followed by some Appointment Types ( also referred to as 'Products', such as New Patient Consultation, Follow Up Consultation etc.). For video / telephone consultations, use video / telephone as location and enter Remote or Virtual in the address field.


1. Set up Locations and Products

Turn On Patient Booking



Click on any of products (appointment types) to display their details, like clinicians who will deliver them, locations where these are available, duration of time, fees etc. Once the key fields are complete, you can proceed to set up patient booking slots as detailed below:

Click the product you want to enable patient booking (1)

Check and make sure the key variables such as locations, clinicians, duration of appointment and fees are present and complete. It is good idea to choose a colour as this visually differentiates your appointments in the calendar and lists. If any are missing, complete them and click 'Save' button on that panel (2)

Click the toggle button that says 'Allow patients to book online' (3) Optionally you can enable card payments up-front (If your account is set up to receive card payments - from your profile icon go to My Account / Subscription to set this up)

Set up bookable time slots in the panel that opens below (5). Note the dropdown fields inherit the appointment type, location and clinician names. The slots added for currently selected clinicians and location combination are visually represented in the grid. If you make a mistake, you can just delete the slot.

Once you are happy with the set up, just click the 'View Patient-booking Page' and the booking page opens in a new tab. You can use its URL as a link from your website or social media profile pages or embed this in an iFrame on your website.

Adding One-Off Availability for Patient Booking



From February 2024, you can also configure one-off dates for patient booking. You will find some changes to the above screen following this change. Recurring Availability panel is displayed by default and if you would like to add one off dates and associated slots, click the One-Off Availability tab and there you can add them. Once added, unlike the gird system used for recurring availability, the one off dates are added to the dates dropdown. You can easily navigate to the desired date to display the slots. Like the main panel, individual slots can be added and deleted here.

Things to Remember



If you remove a clinician from the clinicians field, all the associated time-slots are also deleted.


Please email support@clinicyou.com if you need help setting up the iFrame on your website. Make sure your web page is fully responsive and can adjust to mobile screen sizes.

Patient Booking Page



The patient booking page is designed for ease of use and requires no instructions. The patient starts by selecting a clinician name, when all the available appointment types are displayed. One selecting an appointment type, the locations where these are available are presented. Once the three dropdowns are completed, a calendar with available state circled will be displayed. On clicking a suitable date, all available times are displayed. Clicking a suitable time invites the patient to provide mobile phone number and email address.

The booking page is fully responsive and adjusts to mobile device screens.

ClinicYou attempts to match email address first, then phone number, to identify patients who already have existing records. If found, providing correct date of birth will complete the booking. If patient is not found, they will need to fill in rest of the fields and proceed to booking. Misspelling these bits of data can result in a duplicate patient being created.

If you are using online booking facility, it is a good idea to capture email address and mobile phone numbers on your existing patients to avoid creating duplicate records. If a patient ends up creating a duplicate record, you can of course delete the duplicate record.
